From morning breakfast buffets and freshly brewed coffee to a casual feast and elegant hors d’oeuvres, these pages are filled with fresh and contemporary menus. These represent only a starting point, however. Our commitment to you is to customize menus as needed for any occasion. Whether your event is a breakfast meeting, a faculty luncheon or a retirement party, you will find that we offer fresh ingredients, creative preparations, elegant presentation, and thoughtful service. Catering Guidelines

The following steps will help you through the process of organizing your special function. Please contact our Catering Department if you have any questions.

Reserving a Location

All meeting and banquet spaces at the University of Rio Grande must first be reserved through Lori Taylor before catering arrangements can be guaranteed.
Please call 740-245-7234 or email to start the reservation process.

Arranging for Catering Services

Once you have reserved your location, you will need to get in contact with the University of Rio Grande Catering Department at 740-245-5660 or send an email to schedule your catered event.

Booking/Planning an Event

Contact the Catering Department at least 14 days before the event at 740-245-5660, or by emailing, or stop by our office located in the Davis University Center.Some arrangements can be made by phone or email , others may require an appointment with our Catering Department. This is the time for a thorough discussion of all specifics and details. We can help you make all the necessary decisions and to determine which of our services best fit your needs.

Event Confirmation and Guarantees

After we have finalized all the details for your special event, you will receive a Catering Service Proposal Contract, to be signed and sent back to us. We ask that you ensure that we have this signed guarantee 7 business days before your catered event. This confirmation and guarantee will include the exact times, location, attendance, menu choices and room setup.

Payment

All catered functions must be secured by payment before they occur. Most major Credit Cards, Cash, Check, and Purchase Orders are all valid payment methods. Our payment policy requires a deposit of 75% two weeks prior to the event with the remainder balance due on the day of the event. Tax exempt organizations are required to submit a copy of their exemption certificate prior to their scheduled event.

Changing/Cancelling an Event

All cancellations and final changes must take place at least 3 business days before your function. If you do not contact us with a final count within 3 business days, we will prepare for the estimated number and charge accordingly. If you cancel or change an event after the 3 day deadline, some of the expenses already incurred cannot be absorbed and will have to be billed.

DeliveryFees 

There is no delivery fee for catering services held on the University of Rio Grande campus. Deliveries within the Rio Grande communitty will require a $25.00 delivery fee. For other locations, please contact our Catering Department.

Attendants

To ensure that your event is a success, catering staff will be provided for all served meals and some buffets. If additional time is needed, a fee of $25.00 per attendant, per hour will be charged for a minimum of 1 hour.

Service Staff

Continental breakfasts, breaks, and receptions are priced for self-service. Buffet and served functions are staffed with one attendant for every 35 guests and are included with the per person price.

Catering Equipment

As the host of the catered event, you are responsible for the equipment we have provided. Any missing or damaged catering equipment or supplies will be charged to your account at replacement cost. For larger events, specialty equipment may need to be rented at an additional charge.

Floral Charges

We will be happy to assist you with your floral arrangements. For decorative requests an additional fee will be determined for your specific needs.

China Charges

Our Catering Department provides high quality plastic products unless otherwise requested or noted. We offer china service for any event at an additional charge.

Full Meal Service and Silverware $2.00 per guest
Coffee or Beverage China Service $1.00 per guest
Full Bar Glass Service $1.50 per guest
Reception China and Silverware $2.00 per guest

Linens

We will provide linens for buffet tables at no charge. If you would like linen to be placed on any additional tables, there will be a $5.00 fee for each tablecloth. Linen napkins are availible for $0.65  each. Specialty linens are available upon request for an additional charge.

Food Removal Policy

Due to health regulations, it is our policy that food items from events cannot be removed from the event site
